The Before
Rentiner's business works like a fishing boat: every day they have to go out and capture leads, both from organic traffic and marketing campaigns, qualify them, and call them quickly. The entire sales team works remotely, and a large portion is based in Argentina.
Oscar Martí, CEO and co-founder, had it clear even before founding Rentiner: remote work was going to be key. But working remotely requires systems that tell you if the team is on track. And the one they had didn't do that.
Rentiner managed its leads in HubSpot, a CRM designed for B2B and high ticket sizes, where response speed matters less. There was no process to ensure each task was addressed, nor any way to measure contact rates without exporting data to Excel. And they couldn't make calls from Argentina using HubSpot.
The result: during working hours, only 9% of leads were called in less than 15 minutes. And the follow-up was a black box.

The Change
Rentiner chose Vixiees as the telephony and omnichannel system between HubSpot and its sales team. The first thing it solved was the basics: making calls from anywhere in the world and measuring what happens on every call.
On that foundation, they set up:
Management-defined priorities. Management and the sales manager decide which tasks are handled first, and that is what gets executed.
Automated deals and tasks. Each customer served creates a deal and triggers a series of templated tasks that guide the sale.
Objective closing rules. A lead is only marked as closed-lost after five unsuccessful call attempts.
Automatic lead distribution (round robin). With a 15-minute SLA during business hours, Vixiees assigns each lead to the next available free agent.
Call backs at the exact right moment. In digital onboarding operations, the task to call back triggers after 15 minutes, right when the bank has evaluated the application.
After-call work data. A dashboard shows how much time is spent after each call, in order to shorten it.
